When a hotel and restaurants use different systems, billing can be confusing. Staff have to enter details twice, room charges can be missed, and it can take the accounting team hours to check bills.

Hotel management software can help you with solving this problem by bringing the Property Management System (PMS) and Point of Sale (POS) into one system.

Why Billing Accuracy Matters for Indian Hotels.

While preparing the bills, hotels need to follow GST rules. As per the report of a storyboard18 on the Federation of Hotel and Restaurant Associations of India (FHRAI), from 22 September, hotels with rooms costing up to 7500 rupees per night are required to charge tax at 5%. Before this, rooms costing up to 1000 rupees were not eligible for GST, and room prices that are between 1000 and 7500 rupees were required to charge GST at 12%.

According to FHRAI, around 90% of the hotels charge less than 7500 rupees per night. It also says that these hotels are not able to claim input tax credit and has asked the government to restore that again. There are two points to be noted: these statements reflect FHRAI’s position instead of the government announcement. It is important to always check the GST rates, as this changes from time to time.

What Hotel Management Software in India Should Cover

This is our views section. All hotels have multiple departments such as front desk, housekeeping, restaurants, banquets, stores, and accounts. Any good system connects all these departments into one place and keeps all the details centralised. For example, if a guest orders food at the restaurant, the food bill can be added to the final room bill; because of this, staff do not have to enter details separately and manually. The system also needs to calculate GST correctly; it can help in tracking room check-outs and can make it easy for the accounts team to calculate the monthly bills.

It can handle the workload easily during the busy hours. Whether it is guest check-ins, a wedding taking place, or when the restaurant is full, the system should be able to work fast. A slow system can be frustrating for the staff and customers.

What to Ask Before Buying Hotel Management Software in India

Before starting any actual project, ask these questions first; these questions will help you to choose software that would be the best fit for you.

  • Do the PMS and POS work together in one system?
  • Does it calculate GST correctly for room, restaurant, and banquet bills?
  • Can it manage bookings from online travel websites?
  • Does it include housekeeping, inventory, payroll, and accounts?
  • Can it connect with the POS or ERP systems we already use?
  • Does it work easily during busy hours?
  • Can we view room and restaurant revenue in one report?
